Weather Matters More Than You Think

The amount of ice you need varies depending on your setup — and especially the weather. Keep these tips in mind:

  • Hotter weather = more ice.When temperatures climb, ice melts significantly faster. If your event is outdoors or partially outdoors, you’ll easily go through 1.5–2x more ice than you would in a climate-controlled space.

  • Cooler weather = slightly less ice.In fall or winter months, you won't need as much ice because outdoor temperatures help keep everything naturally chilled.

  • Indoor vs. outdoor cocktail hour matters.If cocktail hour is outside, even on a mild day, ice melt increases. If it’s inside, you’ll retain much more of your inventory.


Don’t Rely Fully on the Venue’s Ice Machine

Many venues do have an ice machine, but here’s the reality:Ice machines cannot keep up with bar demand for medium or large weddings.

Between filling coolers, chilling bottles, shaking cocktails, and serving drinks on the rocks, even a strong ice machine will struggle to replenish fast enough — especially with 100+ guests.

That’s why it’s always beneficial to bring extra bags of ice. It prevents stress, long lines, and warm drinks. Plus, leftover ice never goes to waste.


How Much Ice Should You Buy?

A solid rule of thumb is:

👉 1.5–2 pounds of ice per guest(lean closer to 2 pounds for hot weather, outdoor events, and cocktail-heavy menus)

This ensures you have enough to chill bottles, shake cocktails, and serve everything cold from start to

finish.

It’s easy to think of coolers as an afterthought, but in reality, they’re just as important as the ice itself. Without the right number—and the right size—of coolers, your ice will melt faster, your drinks won’t stay cold, and your bar staff will struggle to keep up with service.


How Many Coolers Do You Actually Need?

The number of coolers you need depends on:

  • The type of alcohol you’re providing

  • How many bar stations you plan to have open

  • Whether your event is indoor, outdoor, or a mix of both

As a general rule, we recommend:

👉 Minimum of 2 coolers per bar

  • 1 cooler dedicated solely to ice storage

  • 1 cooler for icing down beer, wine, seltzers, and canned cocktails

This setup keeps your ice clean, accessible, and separate from your chilled beverages—allowing bartenders to work faster and more efficiently.


Cooler Size Matters, Too

Not all coolers are created equal. A small personal cooler isn’t going to cut it for a wedding or large event.

A good benchmark from our experience:We typically place three 24-packs of beer in a standard large cooler to start. As the event continues, we refill as needed. If your cooler can’t comfortably hold at least that amount with ice, it’s too small for bar service.

For larger bars or outdoor receptions, high-capacity, insulated coolers work best because:

  • They retain ice longer

  • They minimize ice melt from frequent opening

  • They can hold more product for faster service


Why Coolers Are Crucial for Outdoor North Texas Events

If you’re getting married anywhere in North Texas, you already know the heat can be unpredictable—even in spring and fall. That’s why high-capacity coolers are a must, especially for outdoor cocktail hour or receptions.


Skipping this step can leave you with warm drinks, long lines, and unhappy guests.


  1. Choosing Between Glassware and Disposable Cups: What’s Best for Your Bar?

When planning your bar setup, one of the biggest decisions you’ll make is whether to use glassware or disposable cups. Many couples assume there’s a “right” choice—there isn’t. It truly depends on the vibe you’re going for, your budget, and the logistics of your event.

Both options can create a beautiful bar experience when done thoughtfully.


Glassware: Elevated, Elegant, and Intentional

There’s no denying it—glassware elevates the entire atmosphere of your event. It feels luxe, photographs beautifully, and adds a touch of sophistication.

But before choosing glassware, you’ll want to think through a few important questions:

  • What are your signature cocktails?Most cocktails can be served in a classic rocks glass, which makes your decision easier.

  • Are you serving wine?If so, you’ll need wine glasses—sometimes red and white.

  • Planning a champagne toast?Add champagne flutes to the list.

  • Serving martinis or espresso martinis?Then martini glasses come into play, which are beautiful but fragile and take up space.

Every type of glass you add increases what you need on-site, including backup inventory for breakage.

Don’t Forget the Busser

Glassware doesn’t just appear and disappear—it needs to be constantly bussed, cleaned off the tables, and cycled back to the bar.

We always require bussers when clients rent our glassware. Even if catering is providing bussers, we still prefer having one of our staff members dedicated to handling our items because:

  • It keeps the bar running clean and smooth

Glassware is beautiful, but it does require extra staffing and logistics that many couples don’t think about upfront.


Disposable Cups: Practical, Budget-Friendly, and Still Elevated

Disposable cups often get a bad reputation, but they can look really good when done right.

We typically recommend 9-ounce hard plastic cups—they’re sturdy, clean-looking, and perfect for almost any cocktail.

Here’s why disposable cups are a great option:

  • Budget-friendly

  • No bussers required

  • No breakage fees

  • Easy cleanup

  • Fast service

And if you still want a luxurious feel, you can elevate disposable cups with:

  • Custom printed designs

  • Logos or initials

  • Hard plastic instead of flimsy soft cups

  • Colored rims, gold edges, or frosted finishes
